Four years post the implementation of their database solution, Wessex Archaeology wanted to initiate a robust refresher training programme with the following objectives to:
- Reiterate the original reasons, logic, and importance of fully committing to using the database
- Ensure employees understand the benefits they will gain personally and as stakeholders of the organisation, by fully engaging with the system
- Encourage best practice and greatest return of investment through effective and efficient use of the system to manage their projects, and where relevant, the organisation
- Highlight tools, functions, and processes which previously were not utilised, or which have become available via software upgrades
185 employees completed the Refresher Training. Rating of the training was extremely high.

An estimated average time saved per day based on the knowledge gained in the training is 10 -30 minutes.

The primary goals of the refreshproject were to:
1. Mitigate the current risks of using an out of date and unsupported project accounting (PA) module, by transferring their financial data and processes into the Deltek Project Information Module (PIM) and integrate with the new accounting package
2. Increase and maximise the return on investment by simplifying configuration to improve the user experience, incorporating timesheets and expenses to automate and view the impact of costs directly on a project and, finally, training employees to improve their efficiency and increase the accuracy of the data
To ensure the ultimate success of the project, the refresh was broken into two phases.
Phase 1:
- A detailed gap analysis review and report
- A management workshop to review and discuss the findings/recommendations
Phase 2:
- Upgrade to the latest version of the software
- Simplification and optimisation of the current configuration
- Configuration of the financial module in preparation for the import of the financial data and the transfer of timesheet and expenses submittal processes
- Provision of a robust training programme across the business to: maximise the functionality of the modules already in use, training on the newly implemented modules and tools, define and encourage best practice and ultimately ensure the most efficient and effective use of the system going forward
Changes made to the original configuration and existing standards brought consistency to all projects and provides logical classifications on which critical management reports and kpi can be produced.
Feedback received during the training sessions and in post-training evaluations e.g., “you have just saved me half an hour a day”, “It was a very valuable day for me, I feel much more comfortable in the workspace environment now”, endorse the effectiveness and value of the training. That along with the actual increase usage metrics of the database by the end of the two-week training period, prove that the training was effective in adding value and bringing the project to a successful conclusion.

Upgrading for the first time without in-house 'upgrade' experience, HLM felt it important to have expert resource on hand to support: the checking of data, identifying any upgrade glitches to bespoke areas of the software, and classifying where training and edits to in-house guides were required, to conform with the changes in the upgrade. This pre-deployment process ensures an upgrade that runs as smoothly and successfully as possible.
Recognising that the database is an office critical tool requiring maximum up time, under Monica's guidance and experience, HLM were not only able to have confidence in the success of the upgrade on the day, but benefit from the added value of guiding the system administrator through upgrading 'best practice' processes, so they can confidently complete future upgrades in-house.

Engaged to improve adoption of the Project Information Management database which suffered from slow uptake and a reluctance to use, a strategic review summarised the current situation, providing recommendations for process change and enhancements to the user experience to enable more efficient and effective use of the system.
A series of interactive hands-on training workshops followed which uncovered additional reasons for the staff reluctance to use the system. These were rectified immediately with sound logic and appropriate training.
Coupled with appropriate support resources created in-house, the system refresh has turned around misconceptions and now proving to be a valuable tool across the business.
